Careers at UF provides several statuses that you can use to manage applicants through the application life cycle. The life cycle of an application begins with “new” and may possibly end with “offer accepted.”
There are several ways to locate the applicant pool for a specific job requisition. Depending on your role in the system, you can use the Dashboard or particular PageUp menu links.
After logging into Careers at UF, select the title of the desired job requisition from the Dashboard.
There is another way to access the applications list.
Click the PageUp menu icon.
Click the Manage jobs link.
NOTE: Those who are listed as Hiring Managers for a job requisition can view specific requisitions via the My jobs or My sourced jobs links in the PageUp menu.
Click the green checkbox of the applicant who will receive a new status.
Click the Select a bulk action drop down field.
Click the Application status drop down field.
There are multiple statuses available to which you can move an applicant or applicants. Hiring personnel can determine which of the statuses to use to help manage job applicants.
Any status with an asterisk (*) next to it signifies that an automatic email is sent when an applicant is placed in the status.
The statuses Hiring Manager Review Unsuccessful and Interview Unsuccessful will end the application life cycle and submit communication to the applicant.
All applicants must eventually be moved to a Terminal Status to ultimately close the job requisition.
In this example, click the Hiring Manager Review status.
Click the Next button.
You may wish to move more than one applicant to a different status. You can do this by selecting the desired applicants and moving them all together.
Click the green checkbox for each applicant being changed to the same status.
Click the green checkbox.
Click the Select a bulk action drop down field.
Click the Application status drop down field.
In this example, these two applicants are ready for phone screening.
Click the Phone screen list item.
Click the Next button.
Complete the status change page as needed.
You may need to move multiple applicants to different status levels depending on how they are moving through the application lifecycle. You can move applicants into up to three different statuses in one move.
Decide which applicants need to be moved to which statuses. Assign each colored checkbox to a specfic status.
In this example, the green checkbox will represent the applicants that need to be moved to the Hiring Manager Review status.
Click the green checkbox.
Click the green checkbox.
These next two applicants will be changed to the Phone screen status.
Click the yellow checkbox.
Click the yellow checkbox.
The next two applicants are ready to be interviewed.
Click the red checkbox.
Click the red checkbox.
Click the Select a bulk action drop down field.
Click the Application status drop down field.
The green applicants are moving to the Hiring Manager Review status.
Click the Next button.
Complete the status change page as needed.
Click the Application status drop down field.
The orange applicants are moving to the Phone screen status.
Click the Next button.
Complete the status change page as needed.
Click the Application status drop down field.
The red applicants are moving the Interview status.
Click the Next button.
Complete the status change page as needed.
Complete the status change page as needed.
A best practice is to wait until the recruitment process is complete before sending any emails to applicants.
You may have the option to update the job status along with this applicant's status.
If this was the first applicant being reviewed by the Hiring Manager, it would make sense to move the job into the Hiring Manager review status.
This isn't the first application reviews by the Hiring Manager for this job, so we are leaving the status as is.
Confirm the new status appears for the selected applicant.
Notice the green tab displays the number of applicants selected for this status change.
Notice the information bar at the top of the page that confirms the status change. You will also want to review the Status column to confirm the status change as well.
