After completing this module, you’ll be able to edit the approval path for a FAR.
Note: To perform this workflow, you must have the following myUFL security role: UF_ET_FAR_INITIATOR
You can edit the approval path for a faculty assignment report.
The approval path determines the routing of the form, and specifies who is allowed to perform a given step in the workflow.
To begin, click the Approval Detail tab.
To view the users in the approval path, click the Show Approvers button.
We need to add the dean of the college as the FAR Approver for Dr. Smith’s assignment.
Click the Add User(s) to Approval Roles link.
Here you need to select the Approval Step you want to modify.
To do this, click the Approval Step drop down arrow.
Click 2 - FAR Approver.
Now you need to specify the ID for the user to be added.
Click the User ID field.
Click the Inactivate check box.
Our updates are complete, so click the Save button.
Editing the approval path is useful when you need to prepare a FAR for a dean, department chair, or anyone else who serves as a FAR Approver and want to prevent a situation, in which that person would be required to approve their own assignment.
It’s also needed when a person in the approval path is absent or otherwise unavailable to participate in the form’s approval.
Let’s assume we’re viewing a FAR for Dr. Smith, a department chair, who serves as a FAR approver for the faculty in the department.
Dr. Smith’s assignment is determined by the dean of the college, so let’s update the approval path for this form to add the dean as the approver.
Here, you can view each step of the approval path.
The form begins with the FAR Initiator, is then routed to the FAR Approver and ultimately finalized by the FAR Acknowledger.
This form is currently at Approval Step 1 with the FAR Initiator and the Step Status is ‘Pending.’
This tab displays the approval path for the form.
The screen updates to display the users assigned for each of the FAR roles.
The FAR coordinators for the department already display under the FAR Initiator role, so no changes are needed here.
We’re returned to the Approval Detail tab.
Here, you can see the dean has been added as an approver.
The text in this section indicates that the approval path was manually updated, and also includes the user ID of the person who made the change, and the date and time of the change.
Notice that Dr. Smith’s name still displays under the FAR Approver role because he approves the assignments of the faculty in the department.
As a final step, Dr. Smith should be removed as a FAR Approver for his own assignment.
The approval path has been changed for this form only, and the dean will now be able to approve the assignment of Dr. Smith.
